What counts as a “seat”?
A seat is one enrolled-child slot — and it's also your enrolment cap, so what you're billed and what you can enrol never drift apart. Waitlisted or inquiring children don't count.
How does the graduated band pricing work?
Like tax brackets. Each band prices only the seats inside it — your first 20 at $4.00, the next 30 at $3.20, and so on. One more seat always costs a little more, never less, with no cliff to game. Sixty seats works out to CA$202.00/mo.
Is the free plan really free?
Yes — forever, no card. Up to 10 children and 3 staff get the core daily loop: check-in, live ratios, daily logs, and family summaries. Add-ons and the compliance suite come with Pro.
Can I change my seats later?
Anytime, yourself, from the billing page — no emailing us. The new count takes effect immediately and appears on your next invoice.
Which countries can I sign up from?
We roll out region by region — a country opens for sign-up once its rules are in place. Ontario, Canada is live now, and pricing can be set and billed in a market's own currency.

Childcare records are among the most sensitive data a family will ever share. KokoCare is built so a center's data lives in its own region and is walled off from every other center.
Tenant isolation
Every center is a separate tenant, and every tenant-scoped record carries a tenant identifier enforced by row-level security in the database — the hard boundary that keeps one center's data invisible to another. That boundary is exercised continuously by an automated cross-tenant check in our build pipeline, so an isolation regression can't ship.
Jurisdiction-aware by design
A center's country (which rules apply), its currency (what families are charged in) and its locale (how dates and money read) are three separate pieces of data — never assumed from one another. Compliance rules, retention windows and reporting deadlines are stored as jurisdiction data and resolved for each center automatically.
Photos belong to the person in them
A photo is only ever shared after consent is checked, and deleting a photo deletes the file, not just a database row. Identification photos (a face at pickup) are kept separate from photo-sharing consent, so a family can decline sharing and still be recognised at the door.
Security that a licence can lean on.
Security isn't a feature bolted on the side of KokoCare — it's the same discipline that makes the compliance engine trustworthy.
Isolation
Row-level security isolates every center's data at the database, and a cross-tenant fuzz check runs in continuous integration and must stay green for a change to ship.
Authentication
Passwords are hashed with a memory-hard algorithm (scrypt), and sessions use rotating refresh tokens — reusing an old token revokes the whole session family, so a stolen token is a dead end. Kiosk and QR sign-in use short-lived, signed tokens rather than shared secrets.
Consent-gated media & least privilege
A media URL is only minted after consent is verified. Optional modules are enforced on the server, not just hidden in the interface, so a feature a center hasn't enabled simply isn't reachable.
In transit & at rest
All traffic is served over HTTPS. Money is stored as integer minor units to avoid rounding drift, and card payments are handled by our payment processor — KokoCare never stores full card numbers.

Privacy Policy
This policy explains what KokoCare collects, how we use it, and the choices you have. We keep it in plain language on purpose.
Who we are
KokoCare provides childcare-management software to daycares and preschools ("centers"). For a center's own account and staff, KokoCare is the data controller. For the records a center keeps about children and families, the center is the controller and KokoCare is a processor acting on its instructions.
What we collect
- Account data — names, work emails and roles of the staff who use KokoCare.
- Center records — children's profiles, attendance, daily logs, incidents, medication, and (with consent) photos, entered by the center.
- Billing data — plan, seats and invoices. Card payments are processed by our payment provider; we do not store full card numbers.
- Technical data — basic logs needed to run the service securely.
Children's data
Children's records exist because a center needs them to provide care and meet its licensing obligations. KokoCare processes that data only to provide the service to the center, never to build advertising profiles, and never sells it.
How we use data
To run the daily loop (check-in, ratios, logs, the family's story), to bill correctly, to keep the service secure, and to support you when you ask. That's it.
Sharing & processors
We don't sell data. We share it only with service providers who help us run KokoCare — for example a payment processor and infrastructure and email providers — each bound to protect it and use it only for that purpose.
Retention
Records are kept for the period a center's jurisdiction requires; retention is stamped on a record when it's created, based on the applicable ruleset. When a center leaves, we return or delete its data on request, subject to those legal retention windows.
Your rights
Families should direct requests to access, correct or delete a child's records to their center, which controls that data; we help centers action them. For a center's own account data, contact us directly.

Terms of Service
These terms govern your use of KokoCare. By creating an account or using the service, you agree to them.
1. The service
KokoCare provides childcare-management software to centers and their staff and families. We may improve and change features over time.
2. Accounts
You're responsible for the accuracy of your account information and for keeping credentials secure. Directors are responsible for the staff and family accounts they invite.
3. Acceptable use
Use KokoCare only for lawful childcare operations. Don't attempt to breach security or tenant isolation, upload content you have no right to, or use the service to harm children, families or staff.
4. Free plan, trials & fees
The free plan is free for up to the stated limits. Paid plans are priced per enrolled-child seat in graduated bands; trials convert to the paid plan when they end. Fees are billed in advance for the cycle you choose and are non-refundable except where required by law.
5. Your data
A center owns its data. We process it to provide the service, as described in our Privacy Policy. You can export or request deletion of your data, subject to legal retention requirements.
6. Availability
We work hard to keep KokoCare available and secure, but the service is provided "as is" without warranties of uninterrupted availability.
7. Limitation of liability
To the extent permitted by law, KokoCare is not liable for indirect or consequential losses, and our total liability is limited to the fees you paid in the twelve months before the claim.
8. Termination
You may stop using KokoCare at any time. We may suspend or end access for a serious or repeated breach of these terms, with notice where practical.
9. Changes
We may update these terms; we'll post the new date above and, for material changes, let you know in the product.
10. Governing law & contact
